University of Global Health Equity (UGHE) is a new kind of university focused on training the next generation of global leaders in health care delivery. The university launched in Rwanda in September 2015 with its flagship degree program: the Master of Science in Global Health Delivery (MGHD). Position Overview

The Administrative Assistant will be responsible to provide administrative support to the UGHE office as needed. S/he will be working closely with the Administrative Coordinator and Kigali based team. The Administrative Assistant will serve as the first point of contact for UGHE office, and will facilitate internal communication within the UGHE offices. This person will play a key role in supporting the scale-up of this universityadministration.

The Administrative Assistant is someone who is self-motivated and passionate about higher education and global health. S/he will have experience of administrative tasks; have the ability to work independently as well as part of a team. The Administrative Assistant will interact with staff at all levels and across offices, as well as external partners and visitors.  S/he must be well organized, flexible with effective communication skills.


  • Serving as the first point of contact for the UGHE office space
  • Managing the office space, including monthly expenses
  • Generate memos, emails and reports when appropriate
  • Plan and execute students’ week/weekend intensives classes
  • Facilitating visas for UGHE staff and visitors
  • Printing, distributing, organizing and drafting documents and materials
  • Supporting event management including reservations/bookings
  • Provide general support to and liaising with UGHE guests and visitors
  • Triaging incoming requests, queries, phone calls, and invitations
  • Maintain electronic and hard copy filing system for academic and non-academic files
  • Assist in resolving any administrative problems.


  • Bachelor’s degree in education, communications, business management, or related field
  • Experience working in an international NGO and/or academic environment(s)
  • Work experience in administrative, executive assistant, and/or personal assistant role(s) in a fast paced environment.
  • Ability to manage and prioritize projects with high attention to detail.
  • Have experience in processing financial transactions.
  • Excellent written and oral communication skills in English and Kinyarwanda. Knowledge of French is an advantage
  • Fluency in Microsoft Word, Excel, PowerPoint and Google Drive
  • Self assertive, high level of organization and excellent communication skills.
  • Availability to travel as needed and work irregular hours
  • Commitment to social justice and health care equity
