Background

Based on the premise that business oriented strategies can facilitate solutions to global health challenges, CHAI acts as a catalyst to mobilize new resources and optimize the impact of these resources to save lives, via improved organization of commodity markets and more effective management. By working in association with governments and other NGO partners, CHAI is focused on large scale impact and, to date, CHAI has secured lower pricing agreements for treatment options in more than 70 countries. In addition, CHAI's teams are working side-by-side with over 30 governments to tackle many of the largest barriers to effective treatment and care.

It is in line with the above that CHAI is currently implementing a nutrition program in partnership with the Government of Rwanda and private sector stakeholders with the aim of contributing to the fight against malnutrition in Rwanda. This program aims at developing fortified blended foods (FBF) designed for pregnant and nursing women and children from 6 to 24 months.

Summary of the position:

CHAI is seeking foran Office Administrator to support the implementation phase of its Nutrition work in Rwanda. The incumbent will work under the FBF Coordination office based in AIF at Special Economic Zone, Kigalito support the team in administration of FBF office to achieve great level of efficiency in supply chain process.

The position requires a highly motivated individual with sound organizational and communication skills. The incumbent is required to coordinate office activities and operations to secure efficiency and compliance with company policies; he/she will work closely with AIF warehouse officer, FBF office team and CHAI office support team. She/he should exhibit a number of important personal qualities: responsibility, energy, strong professional ethic and highest level of integrity.

Responsibilities

  • Assists office staff in processing incoming paperwork and maintaining files
  • Responsible for updating databases on a daily basis
  • Responsible for ensuring all required paperwork has been received from stakeholders on a weekly basis
  • Track stocks of office supplies and initiates requisition orders when necessary
  • Maintaining a clean and organized working environment
  • Communicates with number of stakeholders as may be assigned by the FBF office
  • Organizing stocktaking of FBF accompanying products under direction and supervision of FBF office

  • Keep records of all distribution related data and produce reports
  • Perform other tasks as requested by the FBF management

Qualifications

  • Excellent written and verbal communication skills in English and Kinyarwanda
  • Advanced skills in use of Ms office applications; Word and excel spread sheets
  • Ability to priorities workload in order to meet required deadlines
  • The candidate must have minimum diploma in secretarial studies, business administration or similar area of study
  • The Ideal candidate must have at least 3 years of relevant working experience in busy working environment
  • Ability to react quickly to ad-hoc requests while managing an existing workload
  • Detail-oriented with strong organization and time-management skills
