Kepler is a nonprofit university program designed to deliver the skills that emerging economies need. Kepler combines the best of online learning and an American competency-based degree program with in-person seminars and intensive education-to-employment support.

 About the Role: 

The Administrative Coordinator will be responsible for a variety of administrative and clerical tasks. Duties of the assistant to the Office Manager include providing support to the Office manager by responding employees’ queries such as issues related to Office Supplies, booking vehicles for staff travels, arrange welcome lunches, handling finance requests, and welcoming visitors at the reception.

 Responsibilities

  • Answer and direct phone calls
  • Organize and schedule appointments
  • Assist in the preparation of regularly scheduled reports such as Vendor reports
  • Assist in develop and maintain a filing system
  • Assist in the update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Book travel arrangements
  • Submit and reconcile expense reports such as cash returns
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
  • Work hand in hand with Kepler greeters
  • Conduct Monthly Greeters Meeting

Requirements

  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School degree/ University current student, an additional qualification as a Secretary will be a plus
